Understanding Parts Transfer
Once product requests are approved, warehouse staff transfer parts to the requesting location or technician.
Step 1: Access Product Request
Navigate to pending request:
- Go to Product Requests tab
- Find request (PR-2024-0567)
- Status shows “Approved”
- Click to open
Step 2: Click Transfer Parts
Initiate transfer process:
- Click Transfer Parts button
- Transfer screen opens
- Shows requested items
Transfer Details Display:
Request: PR-2024-0567
From: Central Warehouse
To: Van-1234 (John Smith)
Priority: High
Needed By: 07/16/2024 8:00 AM
Step 3: Choose Items to Transfer
Select items and quantities:

Partial Transfers:
- Can transfer partial quantities
- Note reason for partial
- System tracks remaining need
Step 4: Save/Transfer
Complete initial transfer:
- Verify quantities
- Add transfer notes:
- “Shipping via overnight”
- “Fragile items included”
- Click Save/Transfer
- System creates freight record
What Happens:
- Inventory decremented from source
- Freight record created
- Status: “In Transit”
- Notifications sent
Step 5: Edit Freight Record
Add shipping details:
- Freight record opens automatically
- Click Edit
- Add shipping information:
Shipping Details
- Carrier: FedEx
- Tracking Number: 1234567890
- Tracking URL: https://fedex.com/track?1234567890
- Ship Date: 07/15/2024
- Expected Delivery: 07/16/2024 by 10:00 AM
- Shipping Cost: $25.00
Step 6: Mark as Shipped
Confirm shipment:
- After physical handoff to carrier
- Click Mark as Shipped
- Status updates to “Shipped”
- Tracking info sent to technician
Automated Actions:
- Email to technician with tracking
- SMS notification available
- Updates visible in mobile app
- Expected delivery shown
