Understanding Parts Receipt

Receiving completes the transfer cycle, updating inventory at the destination location.

Step 1: Access Freight Record

When parts arrive:

  1. Go to Freight Records tab
  2. Find shipment by:
    • Tracking number
    • Expected date
    • Destination
  3. Open freight record

Step 2: Verify Shipment

Check received items:

Verification Process

Expected Items:

☑ Capacitor 45MFD (3) – Received: 3 ✓

☑ Air Filter 20x25x1 (4) – Received: 4 ✓

☑ Thermostat Pro (1) – Received: 1 ✓

Condition: All items in good condition

Discrepancies: None

If Discrepancies:

  • Note missing items
  • Document damage
  • Photo evidence
  • Contact warehouse

Step 3: Mark as Delivered

Complete receipt process:

  1. After verification
  2. Click Mark as Delivered
  3. Confirm quantities
  4. Add receipt notes if needed

System Updates:

  • Status changes to “Delivered”
  • Inventory updated at destination
  • Request marked complete
  • Notifications sent

Step 4: Inventory Update

Automatic stock adjustments:

Before Receipt:

– Air Filter: 2

– Thermostat: 1

After Receipt:

– Capacitor 45MFD: 3 ✓

– Air Filter: 6 ✓

– Thermostat: 2 ✓

Verification:

  • Check inventory tab
  • Confirm new quantities
  • Stock now available for jobs
